Terms of Service

Draft — pending legal review. This page describes HoofFlow's architecture and data-handling practices accurately as of today, but it has not been reviewed by a lawyer and is not a final legal document. Placeholders marked [TBD: …] require a real business decision before this page can be relied on.

The service

HoofFlow is a field app for professional farriers to keep visual, longitudinal hoof-care records — clients, barns, horses, visits, and per-hoof history. HoofFlow does not diagnose conditions, provide veterinary advice, or replace a farrier or veterinarian's own professional judgment.

Private beta

HoofFlow is currently in a private, invite-only beta. Beta access is free, requires no card, and includes full feature access at the operator's discretion. The beta is a pre-release service — features, and this service itself, may change. We'll give reasonable notice before ending the beta or requiring conversion to a paid plan (see "Beta conversion" below).

Subscriptions (post-beta / public launch)

Once public pricing applies to your organization:

  • New subscriptions start with a 14-day free trial. A payment card is required to start the trial, but you are not charged until the trial ends, and every feature is available during the trial with no artificial limitations.
  • You may cancel any time before the trial ends at no cost.
  • Solo is $39/month; Team is $99/month plus $20/month per additional seat beyond what's included. Pricing may change with reasonable advance notice to existing subscribers.
  • Founding Member pricing is available to the first 100 paying organizations that convert from trial on the Solo plan: $29/month, locked in as long as the subscription stays active. Cancelling permanently forfeits Founding pricing — re-subscribing later uses then-current public pricing.
  • If payment fails, your account enters a grace period, then Read Only (you can view and search your records but not create/edit/delete/upload), then Suspended after an extended period. Your professional records are never deleted for a billing lapse at any stage — reactivating your subscription restores full access.

Beta conversion

Beta access does not automatically become a paid subscription and does not automatically count toward the 100 Founding Member spots — a Founding spot is only consumed when an eligible organization actually converts to a paid Solo subscription. At the end of the beta, we'll offer a conversion window (target: roughly 14 days, [TBD: confirm final window] before Read Only applies); your data and export access remain available regardless of whether you convert.

Fair use

Ordinary professional use of every feature — including AI voice notes and route planning — has no hard quota. See our Fair Use Policy for what happens if usage looks abusive, automated, or otherwise abnormal.

Acceptable use

You agree not to use HoofFlow to:

  • Store or transmit content you don't have the right to (e.g. someone else's confidential records).
  • Attempt to access another organization's data, bypass authentication, or probe for security vulnerabilities without authorization.
  • Use the AI or communication features to send unlawful, harassing, or deceptive content.
  • Resell or provide HoofFlow access to third parties outside your own organization.

AI and routing features

Voice transcription, AI-structured notes, and AI-drafted owner summaries are assistive tools — you always review and explicitly approve any AI-generated content before it's saved or sent; HoofFlow never writes AI output to your records automatically. Route planning and drive-time estimates are provided by third-party mapping data and are estimates only, not guarantees of actual travel time.

Your data

You own the professional records you enter into HoofFlow. You can export a complete copy at any time from Settings. See our Privacy Policy for how we handle your data.

Availability

We aim for high availability but do not guarantee uninterrupted access. We do not currently publish a contractual uptime SLA. During the beta, we'll typically respond to support requests within one business day; critical issues are prioritized.

Termination

You may stop using HoofFlow and request account closure at any time. We may suspend or terminate access for a violation of these terms, with notice where practical. See our Privacy Policy for what happens to your data after closure.
